GM/BOD meeting called to order at 6:56 pm by Ed Moore, President

Others present were: Randy Hoffman, Steve Mehlberg, Deborah Mehlberg, Ed Reed, Mike Sacco and Pam Moore

Approved minutes of last GM/BOD meeting.

 

Committee Reports:

Education: Steve Mehlberg

Steve reported that he completed his 3rd seminar at YWCA. Approximately 103   future blues lovers participated.  Eric Tapley Jr. was the contact. Steve reported that he was expecting more request from: Chiddix, Prairieland and St Mary’s schools from next year’s seminars.  Steve stated that 100 harps were on hand. Grant Money was deposited to Education Fund. Steve would like to know more information about grant and how he should be keeping track of the monies.

Discussion about getting more grants and that Jay Goldberg may have grants available in the future.

 Merchandise: Sold for 4 T-shirts.

 Web Page:  It was discussed that we are now paying $5.99 per month to GoDaddy.com. Another option was to pay $285 and to lock in web site host to coincide with the domain until 2017 with Go Daddy.com.

Motion was made by Ed Reed and seconded by Deb to lock in cost and pay $285

 Randy Hoffman made the motion to accept Treasury Report and motion was seconded by Pam Moore.

 New Business: 

Discussion was: Sally had stated to Ed Moore that she would like to resign her duties for the rest of this term. Deborah Mehlberg stated that she would continue as the treasurer.  Motion to accept was made by Randy Hoffman and seconded by Pam Moore. 

Post Office Box annual fee is coming due. It was discussed that nothing except advertisements was being received. Motion to eliminate post off box and fee was made by Ed Moore and seconded by Deborah Mehlberg.

 Discussion that next meeting will be held at Sophie in Clinton IL in October.  The Blues Blowtorch Society would like to celebrate Frank Black’s Contribution to the BLUES.

It was determined that Ed Reed and Mike Sacco would go to Sophie’s and speak to owners about logistics and possible dates.

Discussion:  Proposed phoning of old members so that lapsed members would be aware of Ongoing Blues in the School Program and would be able to renew any membership at the cost of $10.00 except corporate sponsorship.   Randy will look into Bumper Stickers with our Blues Blowtorch logo to give to new and re-renewing members. If this is affordable we will consider option at next meeting.

Merchandise – Letter from Illinois Prairie Community Foundation (IPCF) arrived with grant check for $1000.  Vote taken and approved to give the check to Steve Mehlberg to have Deb Mehlberg deposit this into the Education Fund.


Education – Steve Mehlberg discussed workshops he put on at Prairieland and Chiddix schools and brought thank you cards from these students.  Vote taken and approved to buy up to 200 more harmonicas based on pricing to attempt to buy more at lower price before the price is raised, if it hasn’t already been raised.  Steve indicated that he would also get an accurate count on his present stock.   

 -Steve discussed possible education events and opportunities with children at Mt. Pisgah church on the west side, which would be a 7 week course of harmonica lessons.  Steve also expressed interest in working with the YWCA summer program, but needs a new contact there.  Secretary Kelsey Dennis agreed to pass on Steven’s information to Hilary Pacha with YWCA’s Stepping Stones program.

-Members present discussed the need to tally the monies spent for the grant purposes and that we can count the Chiddix and Prairieland events as well as the Boy Scout event towards the grant tally.  Steve agreed to do this.

GM/BOD meeting called to order at 6:45 pm by Ed Moore, President

Approved minutes of March GM/BOD meeting.

 

8 people present: Ed Moore, Pam Moore, Judy Elston, Frank Black, Ed Reed, Mike Zacco, Kelsey Dennis, Kristen Braun

 Committee Reports:

 Membership - Frank Black – 123 Members and 7 corporate sponsors = 130

 -       Are there any membership renewals in post office box?

-       Discussed the possibility of sending a letter to those who did not renew their memberships explaining we would like to do more events, education, etc. but we need their support.

-        

Entertainment – Deborah Mehlberg  Music is the Medicine is holding a fund raiser at the Castle Theater May 3rdth, 2013

-       GLT Summer Concert – Saturday, June 8, 2013, Downtown Bloomington.  Grounds open at 3:30pm, Free of charge

 -If we would like to be involved or try to pass out flyers for a future event, sell any merchandise, etc. we can attempt to contact Linda Heeley to determine if this is possible.

 -Discussed possible concepts for future event: Summer concert event? Mardi Gras event?  Could a local band (like Matthew Curry) donate their time for a fundraising event?  Possibly get a zydeco band in town (would need to charge cover and get a venue on board), possible venues listed as The Castle Theater and Illinois Brewing Company.

Merchandise – Kristen Braun - IPCF Mirza Grant solicitation was submitted and confirmation was received. We should receive the Grant Committee's decision no later than 30 April 2013, per communication from Kathi Davis. Kristen was informed that they will do their best to give at least partial funding to everyone.


Education – Steve “The Harp” May 15th in Warrensburg Library Mini Festival have requested a Harmonica Workshop.  Need Approval from BOD. 

-We need to know how many harmonicas are in stock.  Pam Moore indicated that Deb Mehlberg did not have an exact count, but estimated the inventory to be approximately 150.  We usually order 200 at a time and we need to get a more accurate account for ordering reasons, especially with the upcoming education event on May 15th.   

-Mike Zacco stated we used to bring in other educational acts other than Steve “The Harp” and perhaps this is something to consider as a future event.  Others mentioned that there have been Blues in the Schools acts, but they don’t provide the students with an instrument to take home.

The Insurance is due, in order to pay the bill we need to list any activities planned for the year $500 or List none and pay $250.

 The Board of Directors voted to pay $500 and committed to having at least one event this year.

 -Discussed the insurance due and group had many questions about the insurance situation.  We need to know if the insurance is billed by a contract year, fiscal year, or calendar year.  We need to know what company holds our insurance.  We need to have a contract of our insurance coverage.  We need to have an invoice for the current insurance amount due.  Mike Zacco suggested that our insurance company could be Van Gundy and stated that on Monday, April 15, he would find out about our insurance dates and contract.

New Business Ed - Discussion of fundraisers. monthly meetings vs. 6 times per year or quarterly

meetings. 

-Determined that we plan to hold at least one event this year and in order to plan and coordinate this, we will need to meet monthly.  Discussed that for consistency and planning purposes, we should hold meetings on the first Friday of each month at 6pm. 

 -Discussed the possibility of utilizing community space such as a library, church, or hospital conference space.  Mike Zacco stated he had begun to research this and Normal Library informed him that space could be used, but only 4 times a year. 

 -Judy Elston suggested that she could host the next meeting on Friday, May 3 starting at 6pm.  Judy’s address is 3006 Harvest Hill, Bloomington, IL 61705.

 -Frank Black indicated that the GLT Spring Fund Drive needs volunteers and if Blues Blowtorch Society members could volunteer, the BBS would be mentioned on the radio during the times volunteers are present, which might help to promote membership sales or involvement from current members.  Dates and Times help is needed for the drive are available at http://wglt.org/contribute/volunteer.shtml or you can call Pat Peterson at 309-438-3581 or email to pat@wglt.org

 -Frank Black suggested that any emails that need to go out can be sent to him and he can forward these on to the rest of the members.  We also need to get access to the mailing list for Ed Moore and possibly other members of the board in case another isn’t able to send out a mailing and so we don’t lose the list.   

-Frank Black also suggested that we can send any event or other information to him to be posted on his website (“Delta Frank’s Blues Blowtorch) as an additional way of promoting events, education, etc.  It was also suggested that any event information could be promoted on WWHP by giving the information to Lonesome Larry and also could be posted on the GLT Arts Calendar.

 -It was mentioned that the BBS has a post office box, PO Box 1090, at the Eagle Station, Bloomington, IL.  We need to get the key for this box for board members to have access and also to see if membership renewals are waiting there.  Ed Reed stated he would deal with getting information and the post office box key to the board members.
